CONDOMINIUM ASSOCIATION

           

Indian Brook consists of 112 individually owned condominium units in 28 buildings on seven streets.  The unit owners elect seven of their number to serve on the Board of Trustees.  Trustee terms of office are two years.

 

BOARD OF TRUSTEES

The Trustees elect from among themselves a President, Vice-President and Treasurer.  The Trustees have the duties and powers necessary to operate and maintain the common areas, determine condominium fees to maintain the common property, collect common area charges, and adopt rules and regulations governing the use of the common areas.

 

The Board meets once a month, on the third Wednesday of each month.  Unit owners and residents are always welcome to attend.

 

MANAGEMENT COMPANY

The Board of Trustees decides general policies and delegates day-to-day operations to a professional management company.  The Board of Trustees oversees the management company’s operations.

 

The current management company is Salisbury Management Company of Boylston MA.  Their Management Office can be reached at (508) 869-4570.  Any issues should be reported at that number. Emergencies and after hours, call (508) 869-0764.

 

ANNUAL MEETING

The Annual Meeting of all unit owners is held in November.  The agenda includes: a Manager's report, the Treasurer's report, presentation of the upcoming year's budget for review and comment, and the election of the Board of Trustees.  All unit owners are encouraged to attend or send a proxy as the Trustees often ask for input and votes on policy issues that affect all unit owners.  All unit owners receive a reminder notice by regular mail 10 days in advance of the Annual Meeting.

 

In addition, a mid-year meeting is optionally held in May.

NEWSLETTER

The Board of Trustees also publishes a periodic newsletter, THE INDIAN BROOK BABBLER.  Residents are welcome to submit articles or suggestions directly to the editor, via email from the web site, or by calling the Management Office.


MONTHLY FEES

Condominium fees are due on the first day of each month.  At the beginning of the year, the Management Company sends out payment booklets for the unit owners to use.  The Management Company also sends reminders, as a courtesy, should a payment be missed.  The payment is required and due even if not received.  Make checks payable to the INDIAN BROOK CONDOMINIUM TRUST and mail to Community Association Bank:

Unit owners may also arrange for direct payment, via electronic withdrawals from their checking accounts, by contacting the Management Company.

 

The Trustees have a duty to collect delinquent condominium fees promptly.  A late fee of $15.00 is charged on all overdue accounts.  Massachusetts condominium law requires notification of a unit owner’s mortgage holder if a unit owner is more than sixty days delinquent.  See appendix for the full collection policy.

 

The Board approves a budget each October for the next year and sets the condominium fee to fund the budget.  The condominium fee includes landscaping, snow removal (excluding individual walks), water, pest control, trash removal, sewage treatment, common area insurance and utilities, maintenance and repairs for common area elements, accounting, legal and management services, and contributions to reserve funds.  State law requires two reserve funds.  One is for the repair and replacement of the Sewer Treatment Facility and the other for future replacement of large capital items such as roadways, roofs, decks and light fixtures.  The reserves are invested in FDIC insured instruments to earn interest.

 

PARKING

Each unit owner has one deeded and one assigned parking space for exclusive use by that unit owner.  On some streets unit owners have asked that Trustees assign the remaining parking spaces so that each unit has two spaces for exclusive use: a deeded one and an assigned one.  It is Trustee policy to make sure at least one space is located as close to the front door of a unit as possible.  However, due to the limitations of parking lot designs, not all units can have spaces located next to each other and/or have both spots in line with a unit's front door.
